Introduction
By filling up any form created and maintained by Philippine Esperanto Youth (hereinafter known as “the organization,”), you give the organization the right to process and maintain your personal data. The organization keeps an organized database of all of its members, event participants, and people and organizations relevant to its interests. However, we understand that you may have concerns regarding your the security and privacy of your data. Therefore, in this continuously expanding virtual world, we are constantly making efforts to make sure that details about you, especially those details which you usually do not let everyone know, are in good hands of authorized personnel.
The organization adheres to the existing laws and regulations in data privacy, primarily the Data Privacy Act of 2012 (R.A. 10173) of the Republic of the Philippines. Furthermore, it observes the policies of the World Esperanto Youth Organization (TEJO), which works with its member-organizations to properly treat data in compliance with the Regulation 2016/679, also known as the General Data Protection Regulation (GDPR), of the European Union (EU). We ask for your cooperation in providing true and accurate information which will be vital to the continued operation of the organization.
What kind of data do we collect?
By registering as a member of the organization, renewing your membership, signing up for an event of the organization or subscribing to our emails, you consent to provide us with one or more types of the following information:
- Personal information
- Contact information
- Language proficiency level
- Occupation, preferences, and interests
How will we use your data?
- To create and maintain a centralize membership database for the use of the National Executive Committee. The organization maintains a comprehensive database of all members and properly gauge the organization's statistics, diversity, and internal trends which can eventually help the organization plan inclusive initiatives;
- To maintain regular correspondence with you on different activities. The organization shall regularly and efficiently contact you to inform you of activities organized by the organization and the Esperanto community in the Philippines;
- To enable internal communication as may be necessary. The organization aims to enable and maintain efficient internal communication between organization staff and members in order to keep the organization effectively running in various functions; and
- To provide you with materials appropriate to your needs and interests. The organization wishes to send you materials such as official documents, learning materials, and any other print or electronic materials which may help you improve your proficiency in Esperanto and fulfill your obligations as a member of the organization.
We will not give your data to any third party or publish it in any way without your express written consent.
What are your rights regarding your personal data?
- Request further information about your data. You are entitled to write to the National Executive Committee to request information about what data the organization currently has about you. You may also request information about how we have used or processed your data so far.
- Update or correct your data. At any given point you may write to the National Executive Committee to update existing data about you should any be found to be incorrect or outdated.
- Request an investigation or complain of possible misuse of your data. Should you have grounds to believe that your data may have been misused, misrepresented or given to any third party without your prior consent, inform us immediately and we’ll launch an investigation and apply corrective measures.
- Request for the removal of your data. Data no longer relevant to the organisation, such as of its former members, are usually securely archived and may be occasionally used for statistical and historical documentation purposes. However, it is possible to expunge your data from any record upon your request.
